Hall Pass Visitor Management System

Hall Pass is a visitor management system that helps schools to monitor and track visitors, including parents/caregivers, volunteers, vendors, and other visitors.

Hall Pass checks visitor information with an integrated, comprehensive database of registries for every state and the District of Columbia as well as Orders of Protection within our student information system.

Approved visitors will be provided with a printed ID badge that must be worn at all times and returned when leaving the building.

Hall Pass will be implemented in schools across the district beginning in January 2023.

District 65 is joining many school systems across the country that have implemented visitor management systems. It’s important that we can screen visitors ahead of time to help keep our schools safe and for team members to know and identify who is in our buildings at any given time.

District 65 is committed to ensuring our schools are welcoming and accessible for all members of our community. 

As added safety measures, Hall Pass checks sex offender registries as well as reported Orders of Protection as noted in our student information system. It does not check or report on immigration or citizenship status. 

Individuals with an approved reason for visiting the school may provide personal information in lieu of an ID.

When checking into the main office, visitors will be greeted by a D65 team member. If you are an approved visitor who will be in areas of the school beyond the main office, you will be asked to comply with entry requirements. Each school may have slightly different procedures but are generally as follows:

1. Present Identification - This may include a state or government-issued ID such as a Driver’s License, State ID, or Passport.
   1. We recognize that not everyone may have one of these forms of identification. A staff member will be able to check visitors in with some basic information including first and last name and date of birth.
2. Review - Within a minute or two, Hall Pass will compare visitor identification data against an integrated, comprehensive database of registries for every state and the District of Columbia.
   1. This does not include immigration or citizenship databases will NOT be checked nor do D65 staff members have access to this type of information.
   2. This scanning process is quick, easy and has the ability to provide alerts on individuals who may need to adhere to special visiting requirements or may not be allowed on school grounds.
3. Issuance of Visitors Badge - Approved visitors will be asked to wear a temporary printed badge with their picture and the date of the visit.
4. Return Visitors Badge - When a school visit has concluded, visitors are asked to return their badge to their school’s main office for sign out.

Visitors who are dropping an item off at the school or dropping off/picking up their child are not required to use the Hall Pass system. If you are entering the school or meeting with a member of the administrative team, Hall Pass is required.

Hall Pass accepts any state-issued ID, including state-issued driver's licenses and state ID cards. It also accepts military IDs, government IDs, Canadian driver's licenses, Mexican driver's licenses, Mexican consulate IDs, and other immigration-related documentation. 

We know that not everyone has a state or government-issued form of identification and want to ensure that our schools remain welcoming and accessible for members across our community. 

Individuals who do not have an ID can provide school or district staff with their legal first and last name, date of birth, relationship to the student, and reason for the visit. Office staff will manually confirm identification and run a background check.

A printed name badge with their photo must be worn by the visitor at all times.

Hall Pass scans your name, date of birth and a photo for comparison with a national database of registered sex offenders, but it does not check criminal or traffic history. It also does NOT check immigration or citizenship status.

In addition, Hall Pass will determine any student with an Order of Protection based on data within our student information system.

Please note that through this process, no other data from the ID is gathered or recorded, nor is the information shared with any outside agency. 

Hall Pass only has access to sex offender registries and the district’s student information system.

Yes, it is necessary to check in via the Hall Pass system every time you visit a school or district facility. The first time you come to the school office, a team member will scan your ID and register you in the Hall Pass system.

After you have registered, you will be able to have your ID quickly scanned in the school office when you visit. If you are entering the building beyond the school office, an ID badge will be printed which must be worn at all times. This will help our staff know you are an approved visitor.

Hall Pass collects and stores your full name, date of birth, first four digits of your license number and photo when your ID is scanned. Digital copies of visitor IDs are not kept.

The Hall Pass system and data are housed off-campus at CompuData’s Tier-One data center, which offers an extremely secure environment. The data center is HIPAA, FISMA, Sarbanes-Oxley, GLBA, and SAS 70 Type I & II certifications.
